ATS Explained: Why Your Perfect CV Gets Rejected by Robots

You spent hours perfecting your CV. The content is strong, your experience is relevant, and you are genuinely qualified for the role. You hit "Submit" and wait. Days pass. Weeks. Nothing. No rejection email, no feedback, no acknowledgement that you even applied.

The painful truth is that in most cases, no human being ever read your application. It was rejected by a robot called an Applicant Tracking System — and it probably happened within milliseconds of you clicking the submit button.

Understanding how these systems work is not optional anymore. It is the difference between your CV reaching a recruiter's desk and disappearing into a digital void. This guide breaks down exactly what an ATS is, how it evaluates your document, the specific formatting mistakes that trigger automatic rejection, and precisely how to structure your CV to pass through every time.

What Is an ATS?

An Applicant Tracking System is software used by employers to manage job applications at scale. When a company posts a role on LinkedIn, Indeed, Glassdoor, or their own careers page, every incoming application flows directly into the ATS.

Think of it as a digital gatekeeper sitting between you and the hiring manager. Before any human being looks at your CV, the ATS processes it through a three-stage pipeline:

  1. Parsing — The system extracts raw text from your document, attempting to identify headings, dates, company names, job titles, skills, and contact information.
  2. Categorisation — The parsed data is mapped into structured database fields (name, email, phone, work history entries, education entries, skills list). Each piece of information gets slotted into its correct category.
  3. Ranking — Your structured profile is scored against the job description's keywords and requirements. Candidates are ranked from highest to lowest match, and only the top-scoring applications are surfaced to the recruiter.

If the parser cannot read your document correctly at stage one, your data is corrupted. Corrupted data means a near-zero score at stage three. A zero score means a recruiter never sees your name — regardless of how qualified you actually are.

The Scale Problem

A single job posting on LinkedIn can receive over 500 applications within the first 48 hours. For popular companies like Google, Deloitte, or the NHS, that number can exceed 2,000 per role. Without ATS filtering, recruiters would need to spend 8+ hours just reading through one role's applicants. The ATS exists because human review at that scale is physically impossible. Over 90% of Fortune 500 companies and most mid-sized employers now use some form of ATS.

Which ATS Systems Are Most Common?

Not all ATS platforms are created equal, but the most widely deployed systems across major job markets include:

Each system has a slightly different parsing engine, but they all share the same fundamental limitation: they read documents as a linear stream of text and struggle with anything that deviates from a simple, single-column structure.

The Five Formatting Mistakes That Break ATS Parsing

1. Multi-Column Layouts

This is the number one killer. Many modern CV templates — especially those downloaded from Canva, Etsy, or design-focused platforms — use a two-column design: skills on the left, experience on the right. It looks beautiful on paper and on screen.

But an ATS reads your document left-to-right, line by line, from the top of the page to the bottom. When it hits a two-column layout, it reads across both columns simultaneously, merging content from the left column with content from the right column on the same horizontal line.

The result? Your job title from the right column gets merged with a random skill name from the left column. Your company name bleeds into your contact details. Your five years of carefully documented experience becomes incomprehensible gibberish.

The fix: Always use a single-column layout. One column, top to bottom. No exceptions. If your template has a sidebar, it is not ATS-safe.

2. Tables and Text Boxes

Tables are another extremely common formatting trap. Many candidates use invisible tables to neatly align their dates on the right side and their company names on the left. It looks professionally typeset when printed — but ATS parsers often cannot detect table cell boundaries correctly.

The content of each cell gets extracted in a random, unpredictable order. Your structured work history — carefully laid out as Company Name | Job Title | Dates — turns into scrambled text where dates appear before company names and job titles float without context.

Text boxes are even worse. Some ATS systems skip floating text boxes entirely. If your entire Professional Summary is inside a Word text box (as many templates use), the ATS might see a complete blank space where your most important content should be. Your summary — the section recruiters care about most — simply does not exist as far as the robot is concerned.

The fix: Use plain text with standard headings. If you need alignment, use tab stops. Never use tables, text boxes, or floating elements.

3. Creative File Formats and Graphic Elements

Submitting your CV as an image-based PDF (exported from Photoshop or Illustrator), an InDesign export, or a heavily designed Canva template is a guaranteed way to fail ATS parsing. These formats often embed text as graphic elements — vector paths or rasterised images — that the parser literally cannot see.

Similarly, skill-level bars (those progress bar graphics showing "Python: 80%"), pie charts, icons, and infographics are completely invisible to an ATS. The parser sees empty space where you thought you were showcasing your strongest competencies.

The fix: Submit a standard .docx file or a text-based PDF generated from a word processor like Microsoft Word or Google Docs. Here is a simple test: open your PDF and try to select and copy the text. If you can highlight and copy it, the ATS can probably read it. If you cannot select the text, the ATS definitely cannot read it either.

4. Non-Standard Section Headings

ATS systems are programmed to recognise standard CV section headings: "Professional Experience," "Work Experience," "Education," "Skills," "Certifications," and "Professional Summary."

If you use creative alternatives like "My Journey," "Where I Have Been," "The Arsenal" (for skills), or "What Makes Me Tick," the ATS has no idea which category to assign your content to. Your work history might end up classified as education, or your skills might be ignored entirely.

The fix: Stick to conventional, universally recognised headings. Save the creativity for your cover letter — your CV structure needs to be boringly predictable for the robots.

5. Headers and Footers

This is a subtle but devastating trap. Many candidates place their name and contact details in the document's header or footer section (the area that repeats on every page in Microsoft Word). While this looks clean from a design perspective, many ATS systems completely ignore header and footer content.

If your name, email, and phone number are in the header, the ATS might parse your entire CV without ever capturing your contact information. You could score a perfect match on skills and experience, but the recruiter has no way to reach you because the system did not extract your phone number or email address.

The fix: Place all contact information in the main body of the document, at the very top of page one. Never use the Word header/footer feature for critical information.

Keywords Matter More Than You Think

Even if your document parses correctly through all five checkpoints above, the ATS still needs to rank you against other candidates. It does this by comparing the keywords in your CV against the keywords in the job description.

If the job posting says "project management" and your CV says "managed projects," the ATS might not make the connection — these are different linguistic forms. If the posting asks for "Python" and you listed it inside a graphic skills bar instead of in plain text, the ATS cannot see it at all.

How to optimise for keywords:

  • Read the job description carefully. Identify the exact skills, tools, qualifications, and industry terms mentioned. Highlight them.
  • Mirror the language exactly. If they say "stakeholder management," use that exact phrase on your CV — not "client relations" or "working with clients."
  • Place keywords naturally in your Professional Summary and your experience bullet points, not just in a standalone skills list at the bottom. Many ATS systems weight keywords more heavily when they appear in context alongside achievements.
  • Include both acronyms and full forms. Write "Search Engine Optimisation (SEO)" the first time so the ATS matches both versions. Do the same for "Customer Relationship Management (CRM)" and other industry-standard abbreviations.

The Human Still Matters

It is critically important to remember that passing the ATS is only step one. Once you clear the automated filter, a real human will read your CV. This means your document needs to be both machine-readable and human-compelling.

A wall of keywords stuffed into every sentence will pass the ATS but immediately turn off the recruiter. Sentences like "Experienced project management stakeholder management professional with agile methodology scrum master expertise" read like spam to a human — and recruiters are trained to spot keyword stuffing.

The balance is to write naturally, using strong action verbs and quantified achievements, while ensuring the right terminology appears in the right places. Your CV should read like a compelling professional narrative, not a keyword checklist.
